General Meeting held at the Presidio Child Development Center 5:30-7:00 PM

bulletState of Today & Tomorrow
bulletSandy began the meeting concerned that committees are still not filled and we need to get mandated committees up and running first before nonmandated committees. My email was to elicit a sense of need for SFAEYC as there are 250 plus members but very little participation - and we need more participants. She asked for ideas from the members attending the meeting to increase member involvement. Suggestions included:
bulletcreating a survey regarding expectations, interests, and how do you want to participate?
bulletCore group requires more people involved.
bulletSend a survey and a letter to everyone from Sandy and the board
 
bulletIntroductions were made around the table.
 
bulletSandy opened the floor for discussion:
 
bulletSusan reminding everyone how this group began - Sandy went to the meeting with the past president who was ready to let the SFAEYC end. Sandy didn't want to let this go. Sandy and I got meetings started again and the reaffiliation process was completed
 
bulletCommittee Reports
bulletSusan wanted to know what are the committees and who are the chairs. She stated that everyone who wants to be involved takes a role
bulletMark got names off website of members and interests
bulletcan we go through the current committees such as events, and cull names for other committees
bulletManuel: if we know someone on the lists we can call them
bulletCarol Danaher questioned if we can you do without a governance committee as it is not mandated - it could be ad hoc’ed to some of the other board members
bulletCarol: nominations an d accreditations are important and she suggested that maybe we could get a list of accredited centers
bulletMark will call Susan Fanger again as she is currently going through accreditation.
bulletMark asked what is the overlap between the governance, nominations and elections committees? Governance is not mandates but the others are.
bulletMary Lou Larsen volunteers to make a switch
bulletCarol suggests that you contact R and R to know who is out their and identify candidates
bulletSandy thinks that we need to identify interested people and then build committees
bulletCarol: you need somebody key and who knows everyone
bulletCarol: a lot of this in the beginning is asking and you are just starting up again
bulletMark: outreach is only through email and we need to get back on track with the postcards campaign. We also need to plan an event for fall to increase member involvement
bulletKerri - I was initially brought in as part of a buddy system and it was more personal
bulletEvents as resources - get information about SFAEYC at other events
bulletKerri : workshops are also a great idea to build interest
bulletLidia: We had talked about an august event
bulletCarol: a campus is a place to find energetic people
bulletLidia: what would work - the event at the Museo brought out a fair number of people, we don't have enough time to plan a speaker, etc
bulletSusan: Yes a reception, we need to get out the word and want people to become involved, music, networking, etc. – door prizes including a membership possibly
bulletWhat about vendors - Carol said new representative from Lakeshore is interested in getting involved
bulletLidia: a professional welcome back to school – we need a gimmick
bulletSusan: an exhibit gives people things to look at also
bulletWe aren't yet ready for a big professional development thing
bulletCarol: we are talking about doing a volunteer room at the convention in March with a map of involvement- for the purpose of building, you need clear skills descriptions and what the committees are doing - how much time will they be investing- list very specific start and end dates, etc. explaining where do you go from here – also what in it for them. Make them understand that its fun and the point is let know how they will build their skills in other areas of their life - this is going to help you too!
bulletCarol: I may have this put together and may be able to share this with us.
bulletSandy: We did that last year but keeping them involved is the hard part. The committee chairs can meet them as they sign up with a next meeting will be _____
bulletSandy: once this gets going and people start coming consistently and getting their jobs done away from the meetings it will start to grow
bulletSusan: that's why we need to leave this meeting with chairs in place.
bulletCarol: the committees chairs runs the same term as the president.
bulletMark: the committee chair doesn't do everything, just oversees that everything is done.
bulletCarol: normally a president brings in his/her own focus and what they want to accomplish, they also bring in their own chairs
bulletLidia: we need to know what each committee is charged with and we don't seem befuddled. People get discouraged without organization.
bullet Sandy: when the events committee came with ideas I didn't feel that we were ready for this. But the other piece is that is what people are interested in. I don't want to do something kind of funky - I want it to be nice. I want to make sure that an event is special.
bullet We haven't had enough people coming consistently to get this going.
bullet Lidia : yes, it is a chicken or the egg thing - how do we get people coming
bulletMark. let's set a date and a definition of the event. I can help membership generate postcards. We can print our own pretty cheaply - I move that we have an event, date and working title

bulletSandy: all in favor – approved unanimously.
bullet Mark: we need an at large member - Kerri Dukas volunteers
bulletSandy: Dates in August? A September weekend - 12th? Susan to check calender at Fort Point for other events.
bulletLook for donations - do we have some J Travis funds for conferences - can this be used for as door prizes, funds must be used for education purposes
bulletManuel suggests checking with Marilyn Glass about the specifics of J Travis.
bulletCarol: be careful to consider how do you give people access to the prize as a scholarship and is the money being used for purposes given
bulletMark: we have only so much room on a postcard to explain the event.
bulletKerri: it's not that hard to get donations as long as we have tax exempt status
bulletSandy: we just need to provide an EIN number
bulletCarol: check the incorporation papers.
bulletSandy: let's get the events committee to work on door prizes.
bulletSept 12 is the target date and we should have extra postcards to hand out, also do an Evite
bulletLet’s look at Sept 26 as a backup date
bulletDo we have letterhead - yes
bulletWe need to think about an August meeting to get ready and then the general meeting in September
bulletSusan: Back to committees: accreditation - Mark knows someone going through accreditation now but she may not be the person to chair this
bullet We need to list on the website, the committee chairs, contacts, and meeting dates
bulletCarol recommended Sandy Baba to help identify people for nominations. She asked who is the accreditation facilitator for this area?
bulletSusan: call Daniel and then see if he wants to be the events chair, if not one of you (Manuel or Lidia) might take this on. This will go on the website when?
bullet Mark says that he wants to have phone number listed too.
bulletSusan - each committee can come up with tangible activities.
bulletLidia: how much of the event will we be responsible for?
bulletSandy reports that last year many hands pitched in.
bulletSandy wants people to either commit or quit as we need viable interested people involved to get this moving.
bulletEvents can think about what things to be solicited for food, drinks, prizes, etc.
bulletMark: I think that when we have only a meeting every other monthly I don't know what is happening
bulletSandy – when we went to this schedule it was with the idea that committees would meet in the off month. Maybe we should move back to monthly meetings.
bulletNext month we can have general meeting and have committees meet here
 
bulletReaffiliation Process
bulletSandy: the other thing the committees need to be doing is making long and short term goals per the new CAEYC guidelines. Sandy asks Carol what is happening with Marin AEYC?
bulletCarol: They are doing well Arleen Uryu is the new president
bulletThe committees should try to match their activities to the goals. see Carol's email that was passed out at the last meeting
bulletCarol: these are CAEYC goals for the three year plan - each year we are handing the affiliates 9 of them to help us make our goals.These goals were developed by locals for CAEYC at a retreat
bulletSandy: these can be done as we organize the committees and identify their projects.
bulletCarol: as you approach the next year's plan you need to refer to goals and make sure you are in alignment and budget for the activities.
 
bulletSacramento Training
bulletCarol handed out information about the Sacramento training on Sat July 17 - an online training to use the website more efficiently. It’s all hands on- RSVP if you bare attending

bulletTactics is an subscription training program - one for child care centers and one for family child care providers
bulletProfessional development has a new schedule and fliers were provided
bulletPreK guide to curriculum soon to be out – fliers were provided
bulletEvery month in Connections we highlight an affiliate and we should highlight SF in January. Mark asked what is the deadline? This would be a good idea for the affiliate – call LaWanda Wesley 800-378-2817x 211
bulletThen nominations and elections where's my new chairperson, did I give you this. Get your board demographics and other procedurals guidelines ready
bulletNAEYC at 75 I have brought two copies for your library. They have good info for public policy and membership committees.
bulletMark: are dues are changing? How does that affect us?
bullet Carol - you get more money
bulletIs there an independent membership? - for one more year
bulletIf you renew before Sept 1 you can get two years at the old rates.
bulletstudents are going up $5 to $35 per year
bullet comprehensive goes from $90 to $110 per year
bullet Mary Lou – I have a question about the nominating committee term - we have until next May 15 to complete the election
bullet Carol: yes, the first steps are going to the membership announcing the vacancies while identifying candidate, the slate goes to the board who approve/disapproved and then to general membership and voting must be done by May 15
bulletCarol: the election can't be on the web! It must be mailed out so plan for this in the budget
bullet Carol: You are borderline for nonprofit mailing status.
bulletSandy: are last meetings minutes approved?
bulletMary Lou: I found one typo under general discussion as follows: "mark asked who had filed the position"
bulletSandy: any other corrections?
bulletAccess the website to find the minutes - they are not being sent out to the board
bulletMark: I move we accept the minutes as corrected
bullet Mary Lou: seconded
bullet Sandy puts it up for a vote
bullet Carol: you can ask for corrections, if there are no more corrections, the minutes are approved.
